Wedding Guest Logistics: a couple dancing at a sparkler send-off surrounded by wedding guests

Wedding Guest Logistics: How to Manage Hotel Rooms, Pick-Ups and Welcome Kits for Outstation Guests

At most Indian weddings, a third of the guests come from another city. They land at odd hours, they need a room, a car, a schedule and someone to call, and they will judge the wedding by how the first two hours go. Guest logistics is the part of planning nobody is excited about, and the part that produces the most phone calls on the wedding weekend.

Here is how to handle rooms, pick-ups and welcome kits without a hospitality team.

Step 1: Make an outstation list, separate from the guest list

Go through your master guest list and mark every guest who needs a room. Add columns for: city, arrival date and time, mode of travel and flight or train number, departure, number of people in the room, room sharing preference, and any special needs (elderly parents, a baby, a wheelchair). This list drives everything else.

Step 2: Block rooms in two tiers

Book one block at the wedding hotel for close family and the elderly, and a second block at a cheaper hotel nearby for younger cousins and friends. Ask both hotels for a written rate, the date unbooked rooms are released, and whether breakfast is included. Allocate rooms on your sheet before the week of the wedding, not at the reception desk.

Step 3: Plan pick-ups in waves, not per guest

Sort arrivals by time. Group guests landing within an hour of each other into one vehicle. Book cars for each wave with a named driver and phone number, and send every guest a message the night before with the driver's name and number. One family member should hold the pick-up sheet and be reachable through the arrival window.

Step 4: Put a schedule in every room

A one-page card with the function timings, venue addresses, dress codes, and two phone numbers (one per family). Guests who have this card do not call you to ask when the sangeet starts.

Step 5: Keep welcome kits simple

Water, a snack, the schedule card, a small sweet and something local. A kit does not have to be expensive to be remembered; it has to be waiting in the room when the guest walks in. Assemble them the week before and hand them to the hotel with a room-by-room list.

Step 6: Build in a help desk

A small table in the hotel lobby with one cousin, the room list and the pick-up sheet, staffed for the arrival window and the morning of each function. This is the single most calming thing you can do for outstation guests.

Step 7: Plan departures too

Check-out times, drop-offs to the airport and station, and who is still around for the post-wedding lunch. Departures are forgotten in every plan and cause a scramble on the last morning.

Track rooms and pick-ups in one sheet

The Ultimate Wedding Guestlist spreadsheet has the outstation columns built in: arrival, departure, room allocation, pick-up and meal preferences next to each guest's RSVP, with the counts updating on their own. It is the sheet your help desk works from.
