How to Track RSVPs, Food and Rooms for a 300-Guest Indian Wedding

An Indian wedding is not one event. It is a mehendi, a sangeet, a haldi, the wedding itself and a reception, often across two or three days. Every function has its own guest list, its own food and its own seating. Add outstation relatives who need rooms and pick-ups, and a simple "guest list" quickly becomes the most complicated part of the wedding.

Here is a simple system to keep 300 (or 800) guests under control, without living inside WhatsApp.

1. Keep one master list, not five

Every family member will send you names in a different format: a voice note, a photo of a diary page, a forwarded message. Move every name into one master list as soon as it arrives. For each guest, note:

• Name and phone number
• Which side (bride or groom) and which family group
• City (local or outstation)
• Which functions they are invited to

One list means one real number. That number drives your venue size, catering quote and hotel booking.

2. Track RSVPs function by function

Not every guest comes to every function. Track "yes / no / maybe" separately for the mehendi, sangeet, wedding and reception. Send a gentle reminder two weeks before and again one week before. Caterers usually want a final count a few days ahead, so set your RSVP deadline before that.

3. Plan food from the RSVP numbers

Once RSVPs come in, count meal preferences per function: veg, non-veg, Jain, no onion-garlic, kids' meals and any allergies. Share these counts with your caterer in writing. Guessing here is where most food waste (and most extra cost) comes from.

4. Allocate rooms early

For outstation guests, block rooms early and decide who shares with whom. Keep a simple room list: guest name, hotel, room number, check-in and check-out dates. Share it with the hotel and with one family member who will handle arrivals.

5. Map transport and pick-ups

List arrival times from the airport or railway station, who needs a pick-up, and which car or driver is assigned. On the wedding day, this one list saves dozens of phone calls.

6. Don't forget gifts and thank-you notes

Note who gave what as gifts arrive, especially shagun envelopes. It makes thank-you messages after the wedding easy and personal.
